Board of Directors Meeting Minutes

Monday, January 12, 2004

The meeting was called to order at 7:45pm by Treasurer Karen Lindner. Board members Dick Carter, Jim DaMico, Mike Grueter, Karen Lindner, Allan Swensson were in attendance, as were members Dan Neal and Curtis Snow.

1.) Allan Swensson was unanimously elected president of dBug for 2004.

2.) Allan appointed Karen Lindner as dBug Treasurer.

3.) The Board approved and signed a credit card application for BankAmerica. All Board members are approved card-holders.

4.) The Portage Bay contract remains unfinished. Mike will call Evan to setup meeting with Allan, Karen, and Mike (preferably on a Friday).

5.) The InfoLine instructions have been e-mailed to the ExChange Sysops so that they may update the InfoLine with ExChange status information as necessary.

6.) The HeroicStories contract has been signed, and paid for by HeroicStories.

7.) Exchange - Status report and Cost of Upgrading FirstClass

- The server crashes multiple times per week
- It is now running on a G4 with Mac OS 9.2.2
- The next step is to deploy it under Classic in Mac OS X in the hopes that if/when the FirstClass server process(es) die, they can be reset without system instability problems.
- Curtis and Dan have tried contacting OpenText (the FirstClass folks) with not much luck. Work will continue on that front.
- Invision (web-based online community software) is installed an running on our server. dBug member administrators are testing and configuring the software so the other dBug members can try the product.
- Curtis is testing a demo of FirstClass Server 7.1 on the Resource Center iMac
    - more stable
    - faster, less buggy web interface
    - built-in spam lessening tools
- Joyce Schowalter offered to run a fund raiser for new server hardware/software
    - Goal: $5-6,000
    - attainable with a $20 per member suggested donation
- Dick Carter offered to assist Joyce

8.) Chris Matson's hard drive will be returned to him by Karen. Our FirstClass backup is currently on Allan's SCSI drive which will be backed up to tape and/or optical media as time permits.

9.) The dBug server minimum hardware requirement for the next five years is a dual processor G4.

10.) SIG Leaders and web site visitors would like more timely updates to the dBug web site. Don Arbow had said that he was working on a system that would allow dBug event coordinators to contribute articles to the web site in real-time. Mike will e-mail Don for a status report on that system as well as the status of an iCal event calendar distribution system. Additionally, the web site should have details on how to configure the FirstClass client settings (exchange.dbug.org) on the main web page. Dick will also ask Don in person.

11.) Newsletter for end of January, early Feb. possible topics include:

- find out if Apple can have us in a main meeting (include in letter)
- state of dBug
- fund raising
- the RC move
- 20th anniversary (including celebration)
- coffee mug
- 20 years of trivia
- SIG list
- Macworld article
- big events for the year

12.) Calendar decisions for year - arrange space and speakers ahead of time to promote better.

Tentative list:
- February - Main Meeting at Apple Store
- April - Pizza Party (meet and greet at the Resource Center)
- May - Adobe or some other company
- June - Swap Meet
- August - Picnic (20th celebration)
- November - TBA
- December - Holiday Potluck
